🏨 Hotel Check-in & Registration SOP
Plain English
Hotels must register foreign guests with the police. Bring your passport and expect a scan or photo of it.
If the front desk says they cannot accept foreigners, ask for another hotel or call your booking platform support.

TL;DR: All hotels in China require passport verification and 24-hour registration with local police. International chain hotels handle this automatically; smaller hotels may need manual assistance. Always carry your physical passport (digital copies are not accepted).
Prerequisites:
- Physical Passport: Original document (mandatory, no exceptions).
- Booking Confirmation: Digital or paper confirmation with hotel address in Chinese.
- Payment Method: Credit card or Alipay/WeChat Pay balance.
- Chinese Address: Hotel address written in Chinese characters (for registration form).
📋 The Runbook
1. Pre-Check-in Preparation
- Step 1: Ensure your passport has at least 6 months validity from your check-in date.
- Step 2: Have your booking confirmation ready (digital is fine, but screenshot it for offline access).
- Step 3: Prepare the hotel’s address in Chinese characters (ask the hotel or use Google Translate).
- Verification: Confirm you have all three items before arriving at the hotel.
2. Check-in Process (International Hotels)
- Step 1: Present your passport at the front desk.
- Step 2: The hotel staff will:
- Scan your passport
- Complete the “Temporary Residence Registration” (临时住宿登记) automatically
- Submit it to the local police station electronically
- Verification: You should receive a confirmation (verbal or printed) that registration is complete.
3. Check-in Process (Smaller/Local Hotels)
- Step 1: Present your passport at the front desk.
- Step 2: If the hotel cannot complete registration automatically, they may ask you to:
- Fill out a paper form manually
- Visit the local police station yourself (rare, but possible)
- Step 3: If asked to visit police station, request the hotel provide:
- Exact address of the police station (派出所)
- A note in Chinese explaining your situation
- Verification: Ensure you receive a registration receipt before leaving the hotel.
🚨 Fallback (Plan B)
If the hotel rejects your passport or booking:
- The “International Chain” Failover: If a small hotel cannot process your registration, move to an international chain hotel (Marriott, Hilton, Hyatt, etc.). They have standardized systems and English-speaking staff.
- Booking Platform Support: Contact your booking platform (Booking.com, Agoda, Trip.com) customer service. They can help resolve registration issues or find alternative accommodation.
- Police Station Direct: If registration fails at the hotel, go to the nearest police station (派出所) with your passport and hotel confirmation. They can complete the registration manually (takes 15-30 minutes).
💡 TechDad’s Tips
- The “24-Hour Rule”: You must register within 24 hours of arrival. If you check in late at night, registration can be completed the next morning, but don’t delay beyond 24 hours.
- Digital Passport Copies: Hotels will not accept digital copies or photos of your passport. Always carry the physical document.
- Group Bookings: If traveling with family, each person (including children) needs individual registration. Hotels handle this automatically, but be prepared for a longer check-in process.
- The “Pre-Registration” Hack: Some international hotels allow you to complete registration online before arrival. Check your booking confirmation email for a registration link.
🔄 Common Issues & Solutions
Issue 1: Passport Verification Fails
- Symptom: Hotel scanner cannot read your passport chip or barcode.
- Solution: Ask staff to manually enter passport details. If that fails, request to visit the police station for manual registration.
Issue 2: Booking Not Found
- Symptom: Hotel claims they don’t have your reservation.
- Solution: Show your booking confirmation (email/app). If still unresolved, contact your booking platform’s customer service (most have China-specific hotlines).
Issue 3: Payment Method Rejected
- Symptom: Hotel cannot process your credit card or payment app.
- Solution: Use Alipay/WeChat Pay balance, or withdraw cash from a nearby ATM. Most hotels accept cash for deposits.
Issue 4: Language Barrier
- Symptom: Hotel staff cannot speak English.
- Solution: Use translation apps (Google Translate, Pleco) or show this phrase: “Wǒ yào bànlǐ zhùsù dēngjì” (I need to complete accommodation registration).
🚩 Strategic Gap: The “SPOF” Warning
Single Point of Failure: Relying on a single hotel booking without backup options.
- Hotfix: Always have a backup hotel option (especially an international chain) in case your primary booking fails. Keep booking platform customer service numbers saved offline.
